Auditor Audits

This section of IWS will show a list of auditor queue(s) that contain documents to be audited.  To send documents to an audit queue, first use the Audit Selection Search menu item (see help for that section).  Once inside a queue, the document(s) can be audited using custom audit forms that have been created by the department admin in the Document Type maintenance.


Audit Queues List

The Audit Queues list shows a list of auditor queue(s) that contain documents to be audited.  Queue names will vary by department.

  • Use the search/filter boxes at the top of the grid to narrow the list of Queues.
  • The column headers can be clicked to sort each column.  Click again to sort the opposite direction.
  • Select an audit queue to enter by clicking anywhere in that row.
  • Column details: Most columns can be sorted to organize the Audit Queues list.  The Queue Name column can be searched to narrow down a large list of queues by name.
    • Queue Name: the name of the queue.  This column can be filtered using the "Queue Name Search" filter box above the column header.  Filtering the list will only show queues that match the criteria entered.
    • Access: This column shows how many documents are currently in the queue that you have access to.  Document types can have individual security assignments.  You may have access to a queue, but not all of the document types contained in that queue.
    • No Access: The number of documents in the queue that you do not have access to. 
      • **A hover icon will appear next to the number in this column allowing you to see what document types in the queue that you do not have access to.  If you feel the document type restriction is in error, please contact your department supervisor.
    • Checked Out/Locked: When another IWS auditor has a document open in the queue, that document is locked so no other users can access it at the same time within that same queue.  The count will appear here as an indication that other documents are being worked in the queue.
    • Oldest Document: The system will display the date and time of the oldest document currently in the queue.
    • Newest Document: The date and time of the newest document currently in the queue.



Audit Queue

Once clicked into an audit queue, a list of documents to be audited will be displayed. 

  • Use the search/filter boxes at the top of the grid to narrow the list of Documents.
  • The column headers can be clicked to sort each column.  Click again to sort the opposite direction.
  • Select a document to audit by clicking anywhere in that row.
  • Return to the Audit Queue list (Auditor Dashboard) by clicking the Auditor Dashboard button.



Audit Master

The Audit Master screen allows the auditor to select an audit form to attach to this document audit and complete that form, add notes, review and respond to rebuttals, view the audit history, and view the original document and its details.

 

Action Buttons

  • Back to List: Returns to the auditor queue.

 

Audit Master Tabs

Audit Details

This tab shows the informational details about the audit record and allows the auditor to select the audit form to be used and an action to take once the form is complete.

  • Attach Form: Select an audit form from the drop down list and click Attach Form to display that form in the top right section of the screen.
    • **At least one audit form must be created by the department admin prior to auditing a document.
  • Save Action: Once the audit form has been completed, select an action and click Save Action to complete the audit.
    • Send To processor: Use this option if the document audited needs to go back to the processor for review or correction.
    • Archive: Use this option if the audit was correct, or has been corrected and returned from the processor.  This will completely remove the audit from the auditing module as an active audit, and is always the last step in the audit process.  Audits should not remain open once completed.


Auditor Notes

This tab contains auditor notes that are only visible in the auditor section of IWS and only to auditor level staff.


  • Use the search/filter boxes at the top of the grid to narrow the list of Auditor Notes.
  • The column headers can be clicked to sort each column.  Click again to sort the opposite direction.
  • Use the Add Note button to add a new note to the audit.

 


Notes

This tab contains notes to and from the processor.  This allows for correspondence between the auditor and processor during the audit of this document.




  • Use the search/filter boxes at the top of the grid to narrow the list of Notes.
  • The column headers can be clicked to sort each column.  Click again to sort the opposite direction.
  • Use the Add Note button to add a new note to the audit.
    • **At least one note must be added to the processor before sending it to the processor with the Action option.  This is where the auditor will provide feedback as to why the audit was incorrect and what needs to be done to correct it.

 

Rebuttals

This tab contains any rebuttals created by the processor.  A rebuttal can be created when there is a dispute over the original audit results.  If the processor feels the work was completed correctly, a rebuttal and reason can be added to the audit.


  • Use the search/filter boxes at the top of the grid to narrow the list of Rebuttals.
  • The column headers can be clicked to sort each column.  Click again to sort the opposite direction.
  • Click any row to show the rebuttal details.
  • Use the Accepted toggle to accept the rebuttal if the processor's rebuttal argument is correct.
    • **Only one rebuttal can be active on an audit at a time.
  • If the rebuttal is not accepted, a Note can be added with information, and the audit can be sent back to the processor again, or Archived once it has been accepted.

 

Audit History

This tab shows the the history tracking of the audit.  Each time an audit is sent to a processor or auditor, it is displayed here.


  • Use the search/filter boxes at the top of the grid to narrow the list of transactions.
  • The column headers can be clicked to sort each column.  Click again to sort the opposite direction.


Audit Form

The Audit Form will display in the top right section of the screen.  This form can be different for every department and type of audit.  They can be custom built by the department admins.  The screen shot shown here is only a simple sample of what an audit form could look like. 

The following two fields are present on every audit form regardless of what the department admin setup for the audit form.  They are used as master flags for the audit reporting.

  • Correct: Select if the document audited was done correctly by the processor.
    • Yes: The document was processed correctly.
    • No: The document was not processed correctly.
  • Reason Incorrect: If Correct was set to No, select an incorrect reason.
    • Incorrect reasons are defined in the Incorrect Reasons menu option under the Auditor Audits menu.

The remainder of the fields on the audit form are customized by the department admin for each audit form under each department.

Click the Save button to save the form to the audit master record.

 


The Document

The lower section of the screen displays the original document that is the subject of the audit.  This area uses the same universal document viewer as the rest of IWS.

  • Info panel and Attachment icons are available to see read only details about the document.
