Main Menu -> Search →Full Text Search


The Full Text Search menu option provides a way to find document(s) in the current department using the full text indexing data collected from the document's body (where applicable).  This full text search is similar to the Global/Quick search option on the main toolbar, but allows for additional criteria to be entered with the search term(s).

Full Text Search Criteria Selection





  • Search Terms: Enter the text to search for.  A single word or a phrase in quotes.
    • Text or phrases from the document itself (full text indexing).  If the document you are searching for was a text based document (PDF, Word, Excel, etc.) and not an image file (GIF, TIFF, PNG, JPEG, Etc.) the system will add automatic indexing of all text in the document.  You can search by that text here even if the document indexes did not capture that specific text during the indexing queue process.
      • Example: If a document contained the text "example", you can enter the work example into the Search Terms box and the system will find all documents that contain that word as long as the file type was a text based document.  Even if it is not in an index field.
      • Phrases can be used, but must be enclosed in double quotes like this example: "my example".  This will find any document with the exact phrase "my example".  if the quotes are note used, the system will find any documents with either "my" or "example" in them BUT will take longer and use more system resources.
  • Creation From Date:  Limit the search results to documents created (imported/scanned/emailed to IWS) on or after this date.
    • Leave empty for all.
  • Creation Through Date:  Limit the search results to documents created (imported/scanned/emailed to IWS) on or before this date. 
    • Leave empty for all (If a Creation FROM Date is entered, this field will be required).
  • Document Type: Limit the search results to documents types selected in this list.
    • Multiple selections are permitted.
    • Leave empty for all.


The Search Results


The search results display any documents matching the search criteria.  Click any row to open the master document window and see the document and details.

Actions

  • Return to Search Parameters:  Return to the search criteria screen to edit or re-search.
