Global Search (A.K.A. The Search Box and Full Text Search)

The Global Search is a quick access search box accessible from the main menu bar that allows document searching by document number, index values, and full text search options.

This search function is the same as the Search menu option labeled "Full Text Search".  Starting here from the main menu bar only allows one search term, but the Full Text Search option allows a few other parameters.

The following items can be entered into the global search box to find documents.

  • A document number.
  • Index values.  The same as you would in the Specific Search, but only a single word or small phrase is allowed here.
  • Text or phrases from the document itself (full text indexing).  If the document you are searching for was a text based document (PDF, Word, Excel, etc.) and not an image file (GIF, TIFF, PNG, JPEG, Etc.) the system will add automatic indexing of all text in the document.  You can search by that text here even if the document indexes did not capture that specific text during the indexing queue process.
    • Example: If a document contained the text "example", you can enter the work example into the global search box and the system will find all documents that contain that word as long as the file type was a text based document.  Even if it is not in an index field.
    • Phrases can be used, but must be enclosed in double quotes like this example: "my example".  This will find any document with the exact phrase "my example".  if the quotes are note used, the system will find any documents with either "my" or "example" in them BUT will take longer and use more system resources.

Return To Search Parameters Link: Once the search results are shown, you can click this link to go to the full text search parameters screen.  The system will retain y our search term and show additional parameters that can be used to refine your search results.
