Workflow Views
Workflow Views can be added for each department to allow a "snapshot" view of different documents in or out of workflow. A view provides the ability to show documents from multiple queues into one "view" on the dashboard screen for authorized department users. This is not meant to replace a regular queue for work/processing, but is meant to provide department admins or team leads the ability to see an overview of certain queues or documents based on how the view is constructed.
Workflow View List
Use the list to find and edit an existing Workflow View. Use the Add Workflow View button to create a new Workflow View for the department.
- Use the search/filter boxes at the top of the grid to narrow the list of Workflow View.
- The column headers can be clicked to sort each column. Click again to sort the opposite direction.
- Click on any Workflow View record to open the edit screen.
Add/Edit Workflow View Record
By clicking Add Workflow View button to create a new Workflow View, or by clicking an existing Workflow View from the list, the system will take you to the add/edit screen.
Action Buttons
- Back: Closes the record (without saving changes) and returns to the Workflow View list.
- Save: Saves any changes you have made to the Workflow View record.
Fields and settings
- Active Toggle: On = this Workflow View can be used in the system.
- Name: The name of this Workflow View that will display on the Dashboard.
- Description: A more detailed description of this Workflow View (only visible on this screen.)
- Document Types: Select the document types to be included in this view. If none are selected, all will be included.
- Queues: Select the queues to be included in this view. If none are selected, all will be included.
- **If no Queues are selected, the Document Type and Created From and Through Date fields will be required in combination to keep the queries within reason.
- Document Created From Date: The date from which to start the query for the view. This date is based on the date the document was created in IWS.
- Document Created Through Date: The date to which query for the view will run through. This date is based on the date the document was created in IWS.
- Document Priority: Filter by specific document priorities (ALL is the default).
- Workflow Priority: Filter by specific workflow priorities (ALL is the default). Workflow priority is the priority of a document within the specific queue it is currently housed.
- Workflow Status: Filter by specific workflow statuses (Open is the default).
Security (Tab)
The Security section allows us to assign which department users and/or security groups can access this Workflow View on their Dashboard screen.
Users
- This section will display all department users.
- Select the toggle in the "Access" column to grant access to this Workflow View to the appropriate users.
- The search/filter boxes above each column can be used to find a specific user in the list.
- Each column can be sorted by clicking on the column header. Click the header multiple times to change the sort order.
Security Groups (Optional)
- This section will display all department security groups. End users are assigned to specific security groups (see Department Admin - User Security) to be able to access certain areas of the department. Granting a security group with access to this Workflow View will allow ALL users within that security group to access this Workflow View.
- Select the toggle in the "Access" column to grant access to this Workflow View to the appropriate security groups.
- The search/filter boxes above each column can be used to find a specific group in the list.
- Each column can be sorted by clicking on the column header. Click the header multiple times to change the sort order.
